The Member Portal is a very exciting feature we offer with our Crossfit gym management software absolutely free. So, what it does is that it allows your clients and their parents/NOKs to log in at any time, view progress, class schedules, upcoming events, things to do, etc. that sort of stuff.
All you need to do is set up each one of your clients with their Member Portal login (in case you want to give access to select members only or bar underage members from accessing it) or, you can grant every client bulk access where they will all get their login details at once.
However, if you’re clients have already set up their profiles in the Crossfit gym management software and have a login ID and password to log into it, then that’s the same one they can use to access the Member Portal.
Once logged in, your clients will see a variety of options via their Dashboard, such as their profile, personal information, medical notes, credit card information, payment management, the ability to download their personal data under GDPR, and more.
They can even use the Member Portal in their “gym check in app” to access class schedules, book classes or cancel classes, for instance.

How do I assign individual client logins in my gym check in app?
As mentioned above, you clients need to have their login details ready to access the Member Portal from their gym check in app. Here’s how you can provide them a login:
- Ask them to set up their own logins at the time of registration or once they have registered
- Let them set up their own logins when they sign up via your club’s signup form
- Individually assign them a password yourself
If you don’t want to trouble your clients in any way, then the third method is likely the most feasible one!
To assign Member Portal logins to each client via your gym check in app, find ‘People’ from the main dashboard, then ‘Your Members’, and then ‘View Profile’ (for the client you wish to set up the password for).
Please note: if a client is under the age of 16, you can set up a password only for their parent. If they are between 16-18 years of age, you can either set up a password for the client only, the parent/NOK only, or both. If they are over the age of 18, you should only set up a password for that client.
Moving forward – under each client’s personal information, you will see an ‘Allow login’ checkbox. Check it and a password field will appear. If your member is underage, the password field will automatically appear under the NOK (Next of Kin) section.
Now set a password for your client and/or their parent. Hit ‘Save’ and you’re done. The final step is to let your client/parent know that their login to the Member Portal has been set up. Sending an email or SMS broadcast via your gym check in app is a very easy way to inform them. How do I assign multiple client logins or bulk client logins in my app for gym membership?
Oh, this is just as easy to do. Once you’re logged into your app for gym membership, find the ‘Your Members’ tab from the main navigation bar. Now click on ‘Set member logins’. If you notice, the ‘Send the Everyone’ option will now be automatically checked. That’s it!
But there’s more – what if you want to send the Member Portal login to only a specific group of clients? Easy as eating a slice of cake! Uncheck ‘Send to Everyone’ and choose a class/group from the dropdown menu, then click ‘Add’ and after that, ‘Send Login Request’. And, we’re done!

What is the Noticeboard feature in my gym class app?
The Noticeboard is a very handy feature in your gym class app, allowing you to leave important notices for your instructors, clients and their parents/NOKs. So, each time your instructors or clients/parents log into the gym class app, one of the first things that will grab their attention is the Noticeboard – it’s always a great idea to let them know what’s happening in the club or what the “next big event is”. You can get really creative here, and even leave messages that passively promote the business!
The Noticeboard feature in your gym class app can be accessed via the main Dashboard tab and then choosing ‘Club Noticeboard’. Click on ‘View all notes’ to view all the notices you’ve put up or click ‘Add new’ to add a fresh note.
You can also choose if you want the note to be seen by all clients and instructors or just your internal staff/instructors only. So, choose the appropriate option in your gym class app and click on ‘Add note’.
One ‘final note’ on this feature of your gym coach app: once you click ‘delete’ next to a specific note, the action cannot be undone.

Can you explain how the Club Signup Form works in my gym coach app?
Want new clients to input their own data when they join your club? Your gym coach app has you covered!
All you’ve got to do is generate a link to your club signup form. So, find Club Settings from the settings cog or icon on the top of the screen (against the black background).
Once you access this from your gym coach app, go into ‘Your Club Signup Form’. Check the ‘Create my club form’ option. Now you need to check ‘Allow members to set a password on the signup form’, if you wish to let clients login to enter their own data, as well as view, edit and download it.
Next, click on ‘copy your link’ that’s next to the URL. Once the link has been copied to your clipboard, you can go ahead and add your waiver or T&C document as attachments to the forms. You can do this by clicking on the blue ‘Upload a file’ button. Choose a file from your PC or mobile device and that’s it.
Share the link you copied to your clipboard with your clients, via your gym membership app’s text/email broadcast feature, your social media account or your website. Now your clients can sign up themselves, enter the relevant details, view your T&C and choose “agree” to become a part of your club!
Now, if you go to ‘People’ from the main dashboard and access ‘Your Members’, you should see ‘Pending Members’. Their names will stay here only as long as they don’t click on the link you sent them. Once they’ve received the link, filled up the signup form and agreed to the T&C, they will receive a short and sweet welcoming message, which means you’ll no longer see them under ‘Pending Members’.

How do I add membership options to my club signup form via the Coacha gym membership app?
Super-duper easy! Many Crossfit club owners allow their prospective clients to choose between different membership levels at the time of signup. We integrated a useful feature into our gym membership app to help you add subscription plans to your club signup form, helping clients choose the appropriate plan from the get-go. Here’s what you need to do:
Log into your gym membership app as “Admin” then head to the main dashboard. From here, access Club Settings and then ‘Club Sign Up Form’.
There’s a section here titled “add payment to your signup form”. You’ll see two options here: “Subscription” and “One-off Payment”. You need to go with the first one, of course – and then add the subscriptions you want your prospective clients to choose from. Do make sure you select “add subscription plan” every time you add one so that they start appearing in the yellow boxes below.
Now hit ‘Save’ – voila, you’re done!

How do I access an option to view, add, edit and/or delete a specific client group in my gym membership app?
If you’re running the kind of Crossfit gym that caters to different levels of lifters or competitors, you can use your software for gym membership program to assign or organise those clients according to specific levels or groups.

Does my gym check in platform support one-card payments or requests?
Coacha makes managing a gym business really easy and one of the ways it does this is by letting you collect one-off payments – this can come in handy when your clients need to pay to attend annual club parties or get togethers, payments for apparel or any lifting gear they may need to purchase just once, etc.
So, the first step to help make managing a gym business easier in this regard, is to link Coacha with your Stripe account. Next, find ‘Money’ from the main interface (under ‘People’) and then select ‘New Payment’. You’ll see a tab titled ‘New One-Off Payment’.
Now, you need to choose between Stripe and GoCardless. To send the one-off payment request to a single client, use the search feature to find them, and then select ‘Add Member’. To send the request to the entire class, choose ‘Select a Class’ from the dropdown menu, and then ‘Add Class’.
To add a chosen client/member group only, choose ‘Select a Member Group’ from the dropdown menu and then ‘Add Member Group’. The final option, ‘Send to Everyone’, allows you to send the request to everyone registered with your gym.
There’s just one small step left – add a reference for the payment so that clients can easily identify what it’s for, then enter the amount you want them to pay. Click ‘Pay Now’, read the summary and then choose ‘Pay’. You’re done!
This is just one way Coacha makes managing a gym business really easy, especially when it comes to payment-related matters, one of the most common concerns on gym owners’ minds!

Does my gym mobile app allow me to record a cash payment?
Oh yes, it does! Our gym mobile app is also unique in the sense that it allows you to record both card and cash payments.
If you want to make and maintain a manual payment record, then simply go over to the ‘Money’ tab from the main navigation bar and choose ‘New Payment’. To the far-right of the screen, you’ll find ‘Record a cash payment’.
Fill out all the relevant details, which starts with typing out the desired client’s name and then click ‘Add’. Now click ‘Record Now’. This saves the “record cash” payment option against that specific client only, as you will need to set this individually for each client from whom you wish to take a manual cash payment each month.

Is it possible to take a payment directly from prospects when they use the gym mobile app’s club signup form to become a paying client?
That’s affirmative! We’ve designed Coacha to be very gym direct debit management-friendly, so the moment you link it up with either GoCardless or Stripe, you can easily set up payments to be made from your club signup form.
Now, the first thing you want to do is find ‘Club Settings’ under the main Dashboard. Look for the ‘Your Club Sign Up Form’ tab. There’s an area titled “Add payment fee to your Signup form” – tick the box here to enable the feature and choose between GoCardless or Stripe. Then choose the amount you want new clients to pay at the time of signup. And, we’re done!
See? That’s gym direct debit management made really easy!

I needed to view the payments clients have made to me – which gym direct debit management feature in Coacha allows me to do that?
Oh, this is pretty simple. There’s no “gym direct debit management” feature as such in this case, but rather three different methods you can use to view a payment when it comes to direct debit management for gyms:
1. From the main dashboard, access ‘Money’. The Money Dashboard lets you view all payments made to you – these can be viewed holistically or according to client, amount paid, status, and so on. That’s one way Coacha makes direct debit management for gyms really simple and straightforward.
2. The second method in your gym book app is to access ‘People’ from the main navigation bar and then ‘Your Members’. After locating the desired client through the search feature, click on their profile. You should see a ‘Payments’ tab where you will be able to see the entire transaction history to date.
3. The last method you can use in your gym book app is to open the Member Portal (which clients can also access to view their payment history) and see payment history under the relevant client name.

I needed to archive some client names – is there a way to do that from my gym book app?
Archiving a client name or several names may be required from time to time as they may no longer be a part of your club, and you need to make your client list more current and up-to-date.
In order to archive a client in your gym book app, go to their profile. Under the ‘login’ functions, there’s a button which gives you the option to archive a client name. Turn on “Archive” and then click ‘Save’. That’s it!
If you ever need to pull up the profile of an archived client, you can click on ‘Status’ from the main menu or dashboard, then ‘Archived’ and then ‘Search’, to pull up the desired archived client profile.

In case there are any “failed” payments, can my gym book app help me in any way?
It certainly can – Coacha is much more than just “billing software for Crossfit gym”. We’ve integrated Stripe and GoCardless not just for their ultra-reliable service and some of the lowest transaction fee in the market, but also their ability to handle payment reconciliation without much effort on your part.
So, for example, if you’re using your billing software for Crossfit gym to take payments via GC, your provider will try automatically to take the payment at least three times at no extra cost.
If you’re taking payments through Stripe, then your app for gym members (and instructors) will notify you. Stripe’s automatic response is also to try at least thrice before writing off a payment as “failed”.
Unlike other apps for gym members available today, Coacha will not charge you or your clients anything extra for this. Under the ‘Money’ option in the main Dashboard, you can always check the payment status for either Stripe or GoCardless, where it will state ‘retrying’. This will eventually switch to either ‘paid’ or ‘failed’. In case of the latter, your app for gym members cannot do anything to further to assist you, unfortunately, and you will need to follow up personally with your client.

One of my clients forgot to set up their subscription prior to the payment date. Can I use my app for gym members to help them in any way?
Well, gym member apps don’t really function in a way so as to help clients set up their subscription on time but when communicating with your clients through gym member apps like Coacha, you can always send them a kind reminder that they need to set up the subscription before the start of their payment date. It will save everybody a lot of trouble and if you have any questions in this regard, you can submit us a ticket!

Can you explain what Coacha Custom Reports does? Is this a standard feature that all gym member apps have?
Well, we can’t speak for other gym member apps or the majority of the good ones out there (who knows – maybe they do), but we’ve specifically included a Custom Reports feature in our gym member app to make “management gym with app” even easier:
Custom Reports allows you to export statistics to any device of your choosing to help you view data on specific aspects of your club – for example, how many text or email broadcasts you sent recently, how many clients have yet to subscribe, how many people joined or dropped out of classes last month, etc.
You can find Custom Reports under the ‘Statistics & Reports’ tab from the main menu. It’s a really great feature when it comes to “management gym with app” because you can export so many useful statistics for reference in a CSV format spreadsheet, which you can share with your staff or business partners, perhaps, to better position the business for growth.

Is exporting my client list easy to do with apps for gym owners?
Well, it’s usually pretty easy in most apps for gym owners but it’s especially easy to do in Coacha!
Just go to ‘People’ from the main interface and select ‘Import/Export’. Then select ‘Download current members’. A box will pop up, allowing you to set a target path for the file save. Once done, just hit ‘save’. Now go to the saved file path/destination and you’ll find a spreadsheet waiting for you with all your client data on it.
Not to brag or anything, but this is simpler to do in Coacha than most apps for gym owners!
