For members:
Your members can book training sessions or classes with coaches through their swim team management software login in only a few clicks.
Once they have logged in, they need to click on the “Book a session with a coach” option from the swim team management software’s main Dashboard. Here, they simply need to choose the coach they’d like to book a session with and then tap ‘Next Step’. Your members will be greeted by a calendar with green slots – those are the active timeslots they can book into.
If you require members to pay separately to book sessions through the swim team software, then they need to hit the ‘Pay & Book’ option, and that’s it.
For coaches:
Your coaches can also use timeslots to book both 1-2-1s and private training sessions with your members. So, once your coach has logged into their swim team software, they need to find the Timeslot Manager from the main Dashboard and then choose ‘1-2-1 bookings’.
It’s all very self-explanatory at this point, as your coach simply needs to pick the timeslots which are available to book and save the changes. But if you need a step-by-step guide for this, here it is.

I’m fairly new to swim team software – can you show me how 1-2-1 bookings and timeslots work after I log in as “Administrator” or club owner?
Absolutely!
Your swim team software offers easy booking options which can be used to let your members book 1-2-1 sessions and private group sessions.
So, the first thing you want to do is find the coach profile for which you want to enable sessions booking. Once you’ve done that, access the Timeslot Manager which is accessible from your swim team software’s main Dashboard. Remember, the Timeslot Manager must be attached to each coach’s profile so that they can then manage class bookings, although you do have the option to choose the level of control they have over this.
Now access the Timeslot Booking Settings in your swimclub manager and enable it, as it is not enabled by default. The first option you’ll see here is “Enable timeslot booking for this coach”, so go ahead and check that. The option underneath that says “Allow this coach to manage their timeslots and bookings” – go ahead and check this if you want to hand over full control to your coach over session bookings.
Next, choose if you want your coach to manage 1-2-1s for a single member, multiple 1-2-1s, group timeslots or all of the above. The next option on this page of your swimming app allows you to choose whether members need to pay for each session they book – this isn’t necessary if bookable sessions are a part of their subscription.

What is the Member Portal in my swimming app and how do I use or access it?
Now this happens to be one of the best, most stand out features of our swimming app! And the best part is that it’s totally FREE! At a glance, the Member Portal in your swimming booking software allows your coaches and members (as well as the latter’s parents/NOKs) to log in and view club stats, class schedules, book swimming lanes or pools, see what’s happening during the calendar month, and a lot more.
The first thing you want to do though, as the club owner, is to ensure that each one of your members and coaches have access to the swimming booking software’s Member Portal. If your members created their own password during sign up, then they’re all set – if not, you’ll need to set up their login credentials for the Member Portal.
After your members are logged into the swimming booking software’s Member Portal, they can carry out a variety of functions, such as exporting their transaction history, printing out payment receipts, downloading their personal data under GDPR, viewing club schedules, booking classes and much more.

Does the Coacha swimming booking software give me the option to assign Member Portal logins one by one or ‘mass assign’ in one go if I want?
It does indeed – swimming club management software lets you assign Member Portal logins either individually, in one go where every member receives it, or selectively where only a chosen group receives the login credentials.
Individually assigning Member Portal logins in the swimming club management software:
When you’re viewing a member’s profile, you’ll see an ‘Allow login’ checkbox under their main personal information. Your swimming club management software will then ask you to set up a password for that member or their parent/NOK (if they are underage). You then need to relay this information to the respective member through your swimming club management software’s email/SMS broadcast feature.
Mass assigning Member Portal logins in the swimming club management software:
To mass-assign Member Portal logins to all your members using the swimming club manager, go to your main navigation bar and access ‘Your Members’, then click on ‘Set member logins’. This will automatically check the ‘Send to Everyone’ checkbox.
Sending Member Portal logins in the swimming club manager to a specific group:
To send Member Portal logins to a select group of members using the swimming club software, simply deselect the ‘Send to Everyone’ checkbox and then choose a class/group from the dropdown menu. Then click on ‘Add’ and finally ‘Send Login Request’.
Please keep in mind that you need to inform your members in any case via the swimming club software’s Email/SMS broadcasting feature that their Member Portal logins have been set up and ready to use.

What can I do if any one of my members is experiencing issues logging into the swimming club software Member Portal?
The first thing you want to do is check with your member if they are still using the same password that you provided when assigning them the login credentials for the swimming club software’s Member Portal. If they are, then check to see if they are entering it correctly – you can always generate a fresh login/ password to help them overcome this issue.
If they have changed their Member Portal password, please ask if they are entering it correctly. Passwords are case-sensitive, so even the smallest typo can prevent them from accessing the swimming club software’s Member Portal.
If they still can’t login after multiple tries, please assign them new login credentials to see if that resolves the issue. If not, please submit a ticket so we can troubleshoot the issue.

What is the Noticeboard feature in your swimming management software and how does it work?
‘Noticeboard’ is a really useful feature in your swimming management software, allowing you to leave all kinds of notices for your coaches, members, and/or their parents to see. Every time one of your coaches or members (including parents/NOKs) log into the swimming management software, one of the first things they are greeted with is the Noticeboard. So, as you might imagine, it’s always a good idea to take advantage of this feature in your swimming management software to display the most important or critical information front and centre!
To access the Noticeboard in your swimming management software, go to your main Dashboard and hit ‘Club Noticeboard’.
Click ‘Add new’ in your swimming school software to add a new note or click ‘View all notes’ to view the notes you’ve currently made for everyone to view when they log on to their swimming software.
The Noticeboard also offers the option to choose if you’d like all members and coaches to view notes or select ones only. You can also delete notes in your swimming software if you change your mind, but remember, this action can’t be undone!

How does GoCardless (GC) work with your swimming software?

This integration can be completed by accessing ‘Money’ from your team manager swimming software’s main Dashboard and then going into ‘Settings’. You can take payments from your members by going into the ‘Money’ section and then choosing ‘New Payment’.

How do I create a GC account in your team manager swimming software?
Creating a GC account in your swimming team manager is really easy to do. Simply find ‘Money’, then ‘Settings’ and after that, ‘Create a GoCardless Account’.
Fill out the required information, click ‘Create Account’, and you’re done!
Got an existing GC account? Fantastic! Access the ‘Money’ tab from your swimming team manager’s main Dashboard, go into ‘Settings’ and then ‘Connect to GoCardless’. That’s it.

How do I set up my members on a GC subscription?
Your swimming team manager’s direct debit features allows full control over your finances, and is really simple to set up. Furthermore, unlike what some of the other swimming team managers, you get FREE Apps so everyone can keep on top of their finances.
From the ‘People’ tab in your swimming team manager’s main Dashboard, access ‘Money’ and then ‘New Payment’. Click on ‘Create a New Payment’, work through the steps, and that’s all there is to it.

How can I link my Stripe account with the swimming software for coaches?
Stripe is another great option to take monthly payments from your members. Linking your Stripe account* with the swimming software for coaches couldn’t be easier:
From the main Dashboard of your swimming software for coaches, choose ‘Money’ and then ‘Settings’. On the right-hand side, you’ll see an option which says ‘Connect to Stripe’. Follow the on-screen steps, log in to your Stripe account and you’re done.

Can I record a cash payment instead in your swimming lesson booking software if I want to?

Simply find the ‘Money’ section from your swimming lesson booking software’s main Dashboard and select ‘New Payment’. Look to the far-right column and you’ll see ‘Record a cash payment’. This lets you take swimming club payments through cash. Just fill in the relevant information along with your member’s name and click on ‘Add’.
