Good question! Even though our yoga studio software supports several payment methods, we have included Stripe and GC integration to let you easily collect monthly payments from your clients. In fact, we love GoCardless so much that we use it to collect our monthly payments from you for using Coacha’s yoga studio software.
It’s all very easy once you get set up with an account with either merchant and as you may know, GC and Stripe charge some of the most reasonable online transaction rates in the business.

This isn’t necessary at all! Since you’re the original yoga studio software account holder, you can add as many members as you like, all of whom will have access to it no matter where they are.

GC is used by us to take your monthly payments for using our yoga booking system, whilst both Stripe and GoCardless can be set up to collect all of your payments from your clients.

It would be our pleasure!
GoCardless is accessible from the Money section of your yoga booking system. So after finding it from the main dashboard, go into ‘Settings’ and then ‘New Payment’, as this is where you can attach clients to direct debits or payment plans. If you want to create a payment plan you can do so by going into ‘Money’, and then ‘Manage Plans’.
Now, to create a GC account, navigate to ‘Money’, ‘Settings’, and then ‘Create a GoCardless account’. Fill in all the required information and click on ‘Create account’. You will be redirected back to your yoga booking system and GC will now be set up to be used with your account.
Already have a GC account? Brilliant! In that case, go to ‘Money’, then ‘Settings’, and then ‘Connect to GoCardless’. A new window in your yoga booking system will pop up, taking you directly to GC’s login page. That’s it!

How do I set up or link my Stripe account with your yoga booking system?
This is really easy to do within your yoga studio scheduling software;
Go to ‘Money’ and pull up ‘Settings’ – on the right-hand side of the screen, you’ll find ‘Connect to Stripe’. When you click this, you’ll be redirected to their page where you can login.
Don’t have an account with Stripe? No worries, creating one using your yoga studio scheduling software is really easy too!
Just click “sign up” on the same screen of your yoga studio scheduling software, instead of ‘Connect to Stripe’. Create an account and you’re all set – now you can accept payments from your clients via Stripe.

How do I record a cash payment in my yoga studio scheduling software?

Is there a way to take a client’s sign up payment directly from my club form?
Oh there is! Our yoga studio scheduling software is all about convenience and ease of use, so you can use it to take an initial payment or an upfront joining fee from clients, like most yoga club owners do. Here’s how to set up payments from your yoga studio scheduling software’s club sign up form:
Find the Club Settings tab from the main Dashboard. In this section of your online booking system for yoga, you’re going to find the “Add payment fee to your Signup form” option. Enable this and then choose between Stripe or GC to collect payments directly from your signup form!

How can I view a payment in my online booking system for yoga?
You can use three ways to view a payment in your online booking system for yoga:
The Money Dashboard – This is accessible from the main navigation menu. You can view all the payments your clients have made out to you or filter them using the ‘Search for Payment’ feature.
Member Profile – Navigate to ‘People’ from the main menu, and then ‘Your Members’. Pull up the client you’re looking for and click ‘View profile’. Go to the ‘Payments’ tab to view their transaction history.
Member Portal – Even though the above two methods to see received or outstanding payments in your online booking system for yoga are sufficient, this is also an option, and a particularly useful one for your clients as well to view their payment history!

I may need to cancel a client’s membership – can I do that directly from my online booking system for yoga?
Yes, this is possible to do from your online yoga studio software – just go to ‘Money’ from the main menu and then ‘Manage Plans’. A list of the plans you’ve set up will show. For all your clients who are on a plan, you can view their respective plans by clicking on ‘Members’ on the right-hand side of your online yoga studio software.
You will find a ‘Cancel Sub’ button here, and that’s it, you’re golden!

How do I edit or delete a client subscription in my online yoga studio software?
Easy:
All the subscriptions that’s you’ve created in your online yoga studio software can be found under ‘Money’ from the main nav-bar, and then by going into the “Manage Plans” sub-menu.
Now, it’s not possible at the moment to amend or edit a subscription in your online yoga studio software, once it’s been set up, because if you do need to change it, such as the amount in a subscription, then you must cancel everyone on it and set it up again. We’ve limited functionality in this case purely for data security reasons and nothing else!
But if the plan or subscription isn’t attached to any clients in your software yoga studio up till now, then you’re in luck! Just lick the Settings cog next to your plan/subscription and there you will find a section called ‘Edit payment plan’.
On the other hand, if you simply need to delete a plan or subscription entirely from your software yoga studio, make sure that all clients have been cancelled first. Then click on the rubbish bin next to your plan, confirm, and hit ‘Delete subscription plan’. All done!

Is it possible to delete just a single client from the active subscriptions in my software yoga studio?
We completely understand that on an unfortunate occasion, you may need to cancel a client’s membership from your club, and therefore, delete them from your software yoga studio too.
Just find ‘People’ from your software yoga studio’s main Dashboard and then navigate to ‘Your Members’. Use the Search feature to find the desired client and then click on ‘Profile’. Click on the red delete button, at which point your yoga class booking app will ask you to confirm, and that’s it.

Can I edit or delete a client group in my yoga class booking app?
Yes, very much so!
Your yoga club may cater to different levels of clients – say, those in different age groups or those having different levels of yoga skills. In this case, you can organise them accordingly in your yoga class booking app, effectively saving yourself quite a few headaches down the line!
So, go ahead and access ‘People’ from the main nav-bar and then access ‘Member Groups’. Now find the ‘Create a new Member Group’ option in your yoga class booking app from the right-hand side of the screen and give your group a unique name.
You can then pick your client group’s level here – create another group, set their level, and so on. Once you have successfully created a new client group in your yoga class booking app, you’ll be redirected to the ‘Member Groups’ page. From here, you can edit groups, delete them or arrange them according to relevancy.

Is it possible to change the subscription amount later in my yoga class scheduling software once I have set it up?
This isn’t doable in your yoga class scheduling software, unfortunately, and this is purely for security reasons from a GDPR standpoint.
What you can do, however, under the circumstances, is to remove the client(s) for which you want to change the subscription amount, and then send them a subscription request for the new amount.

One of my clients forgot to set up their subscription prior to the payment date – how does this reflect in my yoga class scheduling software?
It’s important to ensure that your clients are setting up their subscription before the payment date, because if they don’t, their next due payment will automatically go to the next month’s payment date, even after they have set up their subscriptions.
So, unfortunately, there’s no feature (yet) in your yoga class scheduling software which alerts your clients that they need to set up their subscription *before* the payment date arrives.

Can the Coacha yoga class scheduling software be used to collect termly payments?
Yes, you’re free yoga studio software – ‘free’ to download and try out for 14 days, that is – lets you take termly payments. You may want to have a specific schedule based on term starts/ends, e.g. or there may be specific seasons where you want to change the payment schedule a bit, so we’ve got you covered with our free yoga studio software!
What you want to do is to access ‘Money’ after logging into your free yoga studio software and then find ‘Manage Plans’. You’ll see a ‘Termly Plans’ tab. This allows you to see any termly plans you have and also come up with new ones.

Can my clients book yoga venues or special equipment using their free yoga studio software?
We accept Visa, MasterCard and American Express and direct debit.
Yes, the Coacha free yoga studio software has a really helpful venue booking feature, allowing your clients to book everything from specific yoga-related stuff like mats, medicine balls and specialised equipment to entire venues.
This feature is accessible from your free yoga software’s (again, free to try initially!) Club Settings page. Once three, you need to enable ‘Venue Bookings’. Next, you can define what clients can book, giving your venue(s) unique names as you go along, and, set up a payment method if you want them to pay on the spot for any venue bookings through their free yoga software. Hit SAVE and you’re done.
In order for your clients to access Venue Bookings from their free yoga software, they must log into the Member Portal that’s included free with Coacha. If you Head to ‘Classes & Registers’ from the main navigation and then ‘Attendance Register’, you can see who has booked onto classes so far.

Can my clients book into classes using their free yoga software?
Totally possible!
Simply ask your clients to log into their free yoga software and then access the Member Portal. But first, you must enable class booking from your free yoga booking system by heading to Classes & Registers and then choosing ‘New Class/Event’ from the dropdown.
Fill out all the appropriate class info, and then instead of filling out info in the ‘Add members’, leave it blank and click on ‘Create’ instead, as you want your clients to be able to book themselves using their free yoga booking system.
Once classes have been made bookable, it’s a good idea to send your clients a broadcast, telling them that they can now book onto classes through the ultra-useful Member Portal feature in their free yoga booking system – that’s ‘free’ to download and try initially, mind you!

How do my clients use the Member Portal feature from their free yoga booking system?
It’s really easy for your clients to log into the Member Portal from their yoga class software.
If they created their own password at the time of signing up to use their yoga class software, then they can just use that to log onto the Member Portal. If not, then you’ll need to set up their log in and password.
Once this is taken care of, your clients will head to head to ‘https://my.coacha.app/’ and use their credentials to log in. From the main navigation/dashboard of the Member Portal, your clients need to find ‘Calendar & Classes’. This allows them to view a timetable for all classes scheduled for the week or for the month.
The classes which are bookable from their yoga class software will show up here, and they can view all the classes they’ve booked onto, along with the option to cancel any one of them.

I’ve never created bookable classes through my yoga class software – can you show me how?
Certainly! From your yoga class software’s main nav-bar, choose ‘Your Classes’. Here, you will see an option: “Can people book onto this class?”
Check this option and then choose the total number of clients who can book onto the class. Next, set up your payment method if you’d like your clients to pay separately each time they book a class through their yoga scheduling app. Go ahead and check the ‘Pay-As-You-Go’ option and then mention your price.
Next, choose how you want to get through the yoga scheduling app – e.g. through Stripe or GoCardless or through cash.
Note: To record a cash payment in your yoga scheduling app, you need to hit the ‘Pay’ button under the respective client’s name.

Is there a way to limit who can book onto classes through the yoga scheduling app?
Yes – there may be instances where you might want to make bookable classes available to a select group of clients only. In this case, your yoga scheduling app has got you totally covered!
Go into ‘Your Classes’ from the main nav-bar and you will see an option ‘Restrict Member Groups’; simply select the groups who can book onto classes using their yoga scheduling software.

Can I create special courses or classes for a specific season through my yoga scheduling software?
As a yoga club owner, you may have special courses coming up, such as kids’ summer sessions or one focused on elderly clients only. In this case, your yoga scheduling software lets your clients book onto those special classes with ease.
So, what you want to do is find ‘Courses’ from your yoga booking software’s ‘Classes & Registers’ option and then choose “New Course”.
Fill out the course/session information, invite your clients to that course, and we’re all done!

How do I inform my clients about bookable classes or anything else that requires bringing them up to speed on my club’s happenings?
We’ve built a very useful text and email broadcasting feature into our yoga booking software for this very purpose! Now, there’s no way your client can come up to you and sarcastically remark “I didn’t get the memo” or otherwise show dismay over the fact that their yoga booking software did not keep them in the loop.
So, for instance, when you make sessions bookable or, say, have your clients’ logins to the Member Portal ready, you’re going to want to let them know. Simply access the ‘Broadcasts’ feature from your yoga booking software’s main nav-bar and choose ‘Send Broadcast’. Give the broadcast an appropriate subject and type out your message. You can also choose whether you want to broadcast this message either in the form of a text message, an email, or both.

Are email and text broadcasts free in my yoga booking software?
Well, email broadcasts are free to send from your yoga booking app but we do need to charge a teeny-tiny fee for SMS text broadcasts. These are as low as you can imagine and in line with Text Local’s rate of 4.5p-5.5p.

Can I attach a file when sending email broadcasts through my yoga booking app?
Absolutely! You can send all kinds of attachments when sending out broadcasts from your yoga booking app, such as registration forms, class schedules, event flyers, NOK contact details – you name it!
Once you’re on the ‘Broadcasts’ screen in your yoga booking app’s main navigation screen, click on ‘Send Broadcast’. As you type out your subject and message, you’ll notice an ‘Upload a file’ button. Please keep in mind that you can upload attachments in MS Word or PDF format only.

Some of my members are not receiving email/SMS broadcasts through their yoga booking app – why is that?
Since running a yoga club can be sometimes tricky, with all the different aged clients and privacy policies and data safety guidelines to follow, your yoga software is integrated with the latest CPSU (child protection in sport unit) guidelines as dictated by the NSPCC. This means that if you’re trying to send any broadcasts directly to underage clients through your yoga software, they will not be able to see them – only their authorised parents/guardians or NOKs will.
So, that’s one thing to look into.
Another thing you can do, even though it seems like a no-brainer, is to ask that specific client to verify his/her email address. Sometimes, even if a single digit, symbol or alphabet is off, it can cause trouble. It’s so easy to make a typo, especially when you’re quickly typing out an email address on a registration form!
Next, you can try asking if they have checked their spam/junk folder. If your message did land there, then you’ll need to ask your client to lower their security settings and add you to their authorised list of recipients.
However, some messages don’t even land in spam folders – that is, if your client has set the highest level of spam message settings. Again, you can ask them to lower their email security settings.
If your clients are still complaining about not receiving email/text broadcasts from their yoga software, please submit a ticket so that our friendly support team can look into it.

Can you show me how to assign Member Portal logins in my yoga software?
There are two ways of doing this: you can either assign Member Portal logins through your yoga software to each client individually, or you can send logins to everyone at once.

Sending logins individually
To send logins individually from your yoga studio management software, you want to head to ‘People’ first, then ‘Your Members’, and then ‘View Profile’. Underneath your client’s main personal information, there’s an ‘Allow login’ checkbox. Select this and then assign a password. In case your client is underage and requires communication to take place between your club and the parent or NOK, then the ‘Allow login’ checkbox will automatically appear in the NOK (Next of Kin) section. Once you’re done setting up a login and password, hit ‘save’.

Sending logins all at once
To mass-assign logins from your yoga studio management software, go to ‘Your Members’ from the main nav-bar. Select ‘Set member logins’ and this will automatically check the ‘Send to Everyone’ option.
If you want to mass-assign Member Portal from your yoga studio management software to specific groups of clients only, then uncheck the ‘Send to Everyone’ box and choose the desired client group from the dropdown. After that, click ‘Add’ and then ‘Send Login Request’.

Is there a way to set courses, camps or training blocks in my yoga studio management software?
We thought you might find such a feature useful, and so your yoga studio management software lets you precisely and quickly set up events like summer camps, for example, which you plan to stretch out for multiple sessions or offer in blocks of training.
First, you’ll need to create a course, camp or training block. If you already know how to use the ‘Classes’ feature in your yoga management software, then this is more or less the same, albeit a few minor differences.
The ‘Courses’ section can be found under ‘Classes & Registers, and from here, you want to choose “New Course”. Fill out all the relevant course information, including start and end date/time, any recurrences, the name you want to give it, and so on. Click “Add Sessions” and that’s it. Remember to hit the SAVE button on top of the course setting page.
After successfully setting up a course, it will now appear in your yoga management software, which means whenever any of your clients login onto the Member Portal, they will see that a new course has been set up.
If you want to personally inform your clients of the upcoming course, there’s a nifty automated invite feature in your yoga management software. Simply select the “Invite” button next to your course.

How does the attendance register work in my yoga management software?
When you log into your yoga management software, you’re greeted by the Main Dashboard. If you scroll down, you’ll find ‘Attendance Register’ right underneath the Noticeboard. You can also access Attendance Registers from the ‘Classes & Registers’ section of your app to book yoga classes.
The attendance register provides an overview of the classes you’ve scheduled for the week via your app to book yoga classes. If you click on ‘Go to this register’ on the right-hand side of your screen, you can view and use it. You can also click ‘void’ if the scheduled class did not take place, otherwise it can skew the class attendance statistics in your app to book yoga classes.

How can I quickly find a register in my app to book yoga classes?
Any time you set up a class in your app to book yoga classes, it auto-generates a register which you can view from your smartphone or other supported device, in order to sign clients in and out of sessions. Clever, wouldn’t you say?
Anyhow, to locate a register, click on ‘Classes & Registers’ from your free yoga class booking system’s main menu and then choose ‘Attendance Registers’. This open’s the current day’s registers. There are four tabs here, which allow you to locate the desired register in your free yoga class booking system with ease: Past Registers, Today’s Registers, This Week and Search.
The ‘Search’ tab, for example, lets you use date pickers in order to locate a specific register. Once you’ve found the register you want, click on the green ‘Go to this register’ button.

How can I lock and unlock a register in my yoga class booking system?
Your yoga class booking system works as an ultra-secure digital register, allowing you to lock/unlock registers to let clients sign in or out of a class – so that they need not access the rest of the yoga class booking system, and only what they need to.
Head to your yoga class booking system’s main Dashboard, then ‘Classes’, and then ‘Attendance Registers’. Find the register you want to lock/unlock and click ‘Go to this register’.
To lock the register, click on the red ‘Lock register’ button which means you will not be able to navigate away from this screen as long as the register is locked. When a register is locked in the yoga class booking system, your clients can sign themselves into a class, and you can even access personal notes, although all other screens or areas or inaccessible, until you type your password to unlock the page. This makes the rest of your yoga studio booking software accessible again.

What are the Quick View icons in my yoga studio booking software or how do they work?
We understand how you may want to quickly pull up specific information about your clients in your yoga studio booking software – for instance, like medical notes, safeguarding notes, whether someone has signed a photographic waiver or not, and so on. This is where the Member Icons come into play.
The Member Icons feature in your yoga studio booking software can be enabled by heading to your main Dashboard and accessing Club Settings, then clicking on the ‘Club Settings’ tab and finally on ‘Show Member Icons’. Hit ‘Save’.
It’s worth remembering that the Member Icons will only pop up automatically in your yoga studio booking software when certain conditions have been met. For example:
- Whenever a client has a medical note added to their profile, a small “+” icon will pop up. Clicking on that icon will bring up the medical note.
- When one of your clients or their parent do not agree to be photographed, then a small photography waiver “red camera” icon will pop up.
- If a client gets a safeguarding note added to their profile, you will see a small “S” icon appear on their profile.
So, in short, whenever you pull up a specific client’s profile in your yoga business software, icons appear only when certain conditions have been met. It should be noted that when you lock a register in your yoga business software, these icons will not pop up in order to prevent the rest of your clients from viewing or accessing any unnecessary information during self check-in.

What is the Noticeboard feature in my yoga business software and how does it work?
Your yoga business software lets you leave notices for your yoga instructors as well as your clients and their parents to see when they log in. This is one of the first things they see when they log in so you might want to consider what kind of information to put here for everyone to see.
The Noticeboard can be accessed directly via your yoga business software’s main Dashboard or by going into Dashboards and then ‘Club Noticeboard’. You can view all your notices by clicking on ‘View all notes’ or you can add another note by clicking on ‘Add new’.
You can also decide whether you want to create notes which are visible to all your clients and instructors using the online yoga booking app or to your instructors only. After choosing the appropriate option, click on ‘Add note’.
You can also delete notes from your online yoga booking app by clicking on ‘delete’ right next to the note, but do remember that this action cannot be undone!
