Does the Coacha hockey team software allow players to book venues and/or venue items?
It does! Even though Coacha has been mostly designed as ‘hockey software for coaches’, it has a lot of functionality to make venue booking a straightforward process for players too.
Venue booking can be made through our hockey software for coaches, either via the iOS or Android Apps, or by logging in from a computer or any other internet-enabled device with a web browser.
Just ask your players to login to their hockey software for coaches, go to the main dashboard and choose ‘Book a Pitch’, then pick a timeslot, a date, Pay & Book, and that’s it.

Does the venue booking feature have to be set up first in the hockey software for coaches or can players simply access it from Member Portal and follow through?
Glad you asked! The Venue Bookings feature has to be first set up in order to allow members to book venues, venue items or basically anything you’ve made ‘bookable’.
So to do this, login to your hockey software for coaches, and from the main dashboard, access Club Settings. You’ll see an option at the bottom: Venue bookings. Enable this.
Here, you can define what can be booked, along with specific names for each venue – e.g. “Court 1” or “Pitch 2”.
(Please note that you have the option to change the language in Coacha so you can rename ‘Court’ to ‘Filed’ or ‘Pitch’ for example)
Perhaps you’d like to take a payment from players when they use the venue booking feature? Just check the ‘Enable payment on booking’ box and choose the payment types you’re currently accepting. However, if players are pre-paying through a fixed membership plan (not a part of the hockey software for coaches), then there’s no need to turn on this setting.
Hit ‘Save’ and you’re done!

How can I create timeslots for Venue Bookings from the hockey software for coaches?
After enabling the venue booking system from your hockey software for coaches, you can create timeslots or a complete timeslot system, in fact, which can either work on a recurring or one off basis.
So, once you’ve logged into the hockey software for coaches, go to the main dashboard, then Court Bookings – here, you will find a venue timetable and timeslots to create, along with the timeslot creation panel.
Now select ‘Create a new [court/pitch name] timeslot, select the start date of the timeslot which will become available, select the respective time of that timeslot, the duration, and whether it should be recurring. Choose the venue item(s) which is bookable during that timeslot, choose the price and then hit ‘Create Timeslot’.

Can players directly book sessions with coaches through the hockey software for coaches or do I have to set it up for them?
You don’t have to do a thing – players can very easily book sessions, including 1-2-1’s and specific timeslots with coaches, directly from the hockey software for coaches. Just make sure they have their login credentials to the Member Portal.
Once a player logs in to their hockey software for coaches, they need to access “Book a session with a coach” from the main dashboard.
The next step is to select the coach they’d like to book the session with, choose a timeslot, and make a payment to confirm.
Note: Payments are not necessary if players are already on a pre-paid membership.

Can players also cancel bookings directly through the hockey software for coaches?
Yes, they can. All they need to do is log into their hockey software, and access the same option from the main dashboard: Book a session with a coach. On this screen, they will see an option to cancel on the right side of the screen. That’s it!

I’m new to 1-2-1 bookings in hockey software – can you help me understand how to use this feature?
We would be delighted to!
The Timeslot Manager feature allows you to manage each coach’s timeslots in your hockey software – it works with both 1-2-1 sessions and group sessions. You have complete control over each coach’s timeslots, how members pay and whether coaches should manager their timeslots or calendars themselves.
To make the 1-2-1 and private session booking feature as simple as possible, we’ve actually attached the Timeslot Manager to each coach’s profile. So, when you need to access the required information from your hockey software, you don’t have to go around looking for the Timeslot Manager, but rather go straight to that coach’s profile!
However, the Timeslot Manager is not enabled by default in your hockey software. So, you’ll need to go into your coach’s profile and allow them to offer timeslots – look for the Timeslot Booking Settings tab, this will let you do just that.
So, the first step is to enable timeslot booking for that specific coach – you’ll find that option right on top. Then, choose whether you want your coach to manage their own timeslot from the hockey software. This frees up some extra time for you as it allows your coaches to add timeslots and disable a specific timeslot (when they’re unable to show up) and manage bookings.
Next, choose the kind of timeslots available to a coach – e.g. timeslot for single 1-2-1s, multiple 1-2-1s, and for group sessions.
If you want players or their parents/NOKs to pay right away after booking a timeslot, you can enable that option here as well.

How do I make practices bookable in the hockey software?
This is a really useful feature built into the Coacha hockey software, allowing players to directly book with you from the apps that come with Coacha’s hockey software. Alternatively, all your members need to do is access your free Member Portal (also included with the hockey software) via a web browser – just make sure they have their login credentials.
To access the feature, you need to head to Classes & Registers from the main dashboard interface. Then go into New Class/Event. Fill all the appropriate fields and check the box next to ‘People can book into this class’. Then proceed to add players and that’s it!
The next time they log into the hockey software, they can easily book sessions within a few clicks.
(Please note that you have the option to change the language in Coacha so you can rename ‘Classes’ to ‘Practices’ or ‘Sessions’)

How does Venue Booking work for admins and coaches in the hockey team management software?
It’s very easy for admins and coaches to book players into specific timeslots using the Venue Calendar feature. After accessing the Venue Booking screen, click on ‘Book a member in’, and this will launch a pop-up screen.
Here, your coaches and/or admins can book players in and even add guests such as the players’ parents or NOKs. If you take payments for each individual booking, then you can choose the option to record cash payments here, as well as direct debit payments through GoCardless or card payment through Stripe.
Finally, click ‘Book’ to book the player into the timeslot, and that’s all there is to it!

Can I put a limit on the number of sessions a player can book through the hockey team management software?
Yes, you can – your hockey team management software allows you to limit the number of sessions a player books, depending on the club subscription or membership they have.
This is a useful feature we’ve built into the field hockey software as it lets you easily set the total number of bookable sessions according to each player’s subscription plan. However, there’s also a pay-as-you-go option for your players, in case you want to allow them to book as many sessions as they like, if paying you right there and then is more convenient for them, that is. In order to use this specific feature in your field hockey software, you will need to use Stripe or GoCardless to take the recurring payments.
To set the number of sessions a player is able to book, simply access the Money option from the main dashboard and then go into Manage Plans. It’s pretty much self-explanatory beyond that point, but should you require the individual steps, please refer to this

Can I setup courses, camps or training blocks through my field hockey software?
Yes, you can. As a hockey club owner, you may have specific seasons during which you offer special courses or summer camps or provide blocks of training, for example. The Coacha field hockey software lets you quickly set up these events.
From your field hockey software’s main dashboard, go into Sessions and Registers, then ‘New Course’. Fill in the course information and invite members to the new course. And, you’re done!

What are email and text broadcasts and how do I use them?
Sending individual text messages or leaving it up to your players to check their social media accounts means that they may or may not receive notifications from you. When the need arises to let everyone know of a new development or upcoming event in your club, including the players’ parents or NOKs, you can do so directly from the field hockey software.
This is where Coacha’s bulk email/SMS broadcast feature comes in. From the main interface of your field hockey software, access Broadcasts and then ‘Send Broadcast’. Give your message or broadcast a subject and type out the news or notification in the box below. You can choose whether you want to send this out via text, email or both.
For sending messages through your field hockey software directly, you’ll need to set up a Textlocal account from within Coacha itself (extremely easy and only take a few taps or clicks), and make sure that you have sufficient credits available to send the messages. You can buy SMS credits from within Coacha, starting at just 4p per text message, and the good news is we do not add any charges on top of that unlike what companies like LoveAdmin are doing, charging a whopping 10p per text!.
As for emails, they are absolutely free and you can send as many as you like. In fact, emails work particularly well when you want to send flyers, attachments, event timetables or other useful bits to everyone in order to illicit a specific action. It can all be done directly from your field hockey software, eliminating the need to sign in separately to your email account and then typing out everyone’s email address one by one.
After typing out the message, click on ‘Add receivers’. You can also select the appropriate player groups or sessions from the dropdown menus and then click on ‘Add’. If you want a specific list of people to receive the message, you can do so through the ‘Mass-add members’ tab.
Once you’re done adding recipients in your field hockey software for the SMS/email broadcast, tap or click on ‘Review & Send’. This will show a preview of your broadcast before you send it.

Is there a limit to the number of SMS messages I can send through the field hockey software?
There’s no limit at all – as long as you have sufficient credits in your Textlocal account, you can send as many messages as you like.

Is the cost of sending text messages fixed in your field hockey software?
The cost depends on the character length of your text message. So, for example, Textlocal charges as low as 4p per message, but once you go over the standard singular SMS character limit – over 160 characters– then you’re charged for 2 text messages. If your message is longer than 320 characters, then you’ll be charged for 3 text messages, and so on.
As your field hockey software provider, we make zero commission on text messages and do not levy any additional charges, unlike what some field hockey software providers are currently doing.

Can you explain how the attendance register features works in your hockey club software?
When you log into your hockey club app, you’ll be looking at the main dashboard or interface. If your scroll down just a little, you’ll find ‘Attendance Registers’ right below your hockey club app’s Noticeboard. So, go to Classes & Registers, and below that you will find Attendance Registers.
This particular feature in your hockey club app gives you an overview of the sessions scheduled for the week. For example, by clicking on ‘Go to this register’, you can see the sessions that are coming up.
If you want to mark a player as ‘attending’, then click the ‘Add’ button right below their name, which will automatically move them into ‘Session summary’ on the right side of the screen. You can also remove individual players by clicking the red ‘X’ icon next to their name.

How can I give or lock access to a Register in the hockey club management app?
The Coacha hockey club management app makes it really easy to lock registers to allow members to sign in/out of a session, without necessarily giving them access to the entire hockey membership software.
The option to do this can be found by going into ‘Dashboard/Classes’ from the main interface, and clicking on Attendance Registers, and finally, ‘Go to this register’.
Now that the register is open in your hockey membership software, you can click the red button which says ‘Lock register’. This effectively locks other areas of the hockey membership software to your players, so that they can just mark their attendance at a session.

Can you explain what ‘Coacha custom reports’ are in your hockey team membership software?
The ‘Coacha custom reports’ feature in your hockey team membership software allows you to access reports which help you gain insight and data on specific aspects of your club – e.g. how many email or SMS broadcasts you sent the previous month, how many members are on a subscription or pay-as-you-go membership, who attended or cancelled sessions during a specific period, who has COVID symptoms, and so much more.
You can find this section from your main dashboard by going into Statistics & Reports and then Custom Reports.
To export a desired report, simply hit ‘export’ after choosing the appropriate member, group, time-frame, or session, for example, or any other relevant filter. That’s it!
